The Value of a Good System

What Is a System?

A system is simply your way of getting things done. Systems aren't one-time acts; they're habits that you do weekly or even daily. They're the mechanics of leadership, and over time, they dictate the extent of your effectiveness.

The Value of Systems

1) They Help Us Manage Time

As a young leader, a heavier workload and increasing demands on my time forced me to learn how to get things done quickly. I developed systems to squeeze as much productivity as possible into my day. I couldn't afford to move slowly.

As Peter Drucker wrote, "Everything requires time. It is the one truly universal condition. All work takes place in time and uses up time. Yet most people take for granted, this unique, irreplaceable, and necessary resource. Nothing else, perhaps, distinguishes effective executives as much as their tender loving care of time."

2) They Help Us Conserve Energy

When we have good systems in life, we don't waste energy. Do you know the number one waster of time? Looking for things that are lost. A study by Office World News found that the average executive squanders 150 hours each year looking for misplaced files.

As I worked on this lesson, I laughed because I knew it would bring up a few of my idiosyncrasies. For example, when I went to get my glasses the last time, I ordered six pairs-one to put at each of my favorite reading places. I don't have to carry a pair around with me, and when I sit down they're always convenient. It may seem like a silly system, but I never lose time rummaging around for a pair of reading glasses.

3) They Help Us to Multiply Creativity

When I was first married, my wife and I lived in south Indiana, and we didn't have any money. Margaret taught kindergarten, and I was a pastor making $80 per week. Margaret would ask me to mow the lawn, and I would get irritated because we didn't have money to hire someone else to tend to the lawn. There's nothing wrong with mowing, but I had lots of other priorities, and mowing didn't crack my top ten. So, eventually we bought a goat. He grazed on the grass, and I saved time!

Developing systems to handle the trivia of life frees you up to be creative. By automating repetitive tasks, you're able to focus mental energy on top priorities.

4) They Help Us to Maximize Progress

Systems help us to move forward, to go as far as we possibly can. They enable us to work faster, smarter, and more strategically. A good system eliminates waste, while it also anticipates and removes obstacles.

To get the most out of systems, you have to make them a lifestyle not a one-off deal. They must become ingrained in your routine. Systems only benefit you when you stick to them.

5 Attributes of Inspirational Leaders

The Sahara plays tricks on the eyes of its travelers. As the desert sun beats down on the sand, heat waves rise from the ground. Light bends as it passes through the superheated air, painting illusory pictures on the horizon. To thirsty travelers moving through the Sahara, it often appears as if an oasis looms in the distance. However, as the voyagers journey on, the oasis proves to be nothing more than a mirage.

Unfortunately, the ranks of leadership are inhabited by a host of mirages: people who look impressive from a distance, but end up being disappointments. After being fooled by a few mirages, followers become jaded about leadership. That seems as true now as it ever has been. Our trust in leaders has been shaken as politicians have reneged on promises, CEOs have squandered money entrusted to their firms, and managers have advanced self-interests above all else.

To restore society's confidence with those in power, leaders have to be able to inspire. I'm not talking about inspiring someone to buy into the corporate vision statement, to meet quarterly sales goals, or to work more efficiently. These aren't bad things, but right now, people are looking for a leader attuned to their personal needs. They want leaders who will encourage them, believe in their potential, and help them grow.

5 Attributes of an Inspirational Leader

ATTITUDE OF SERVICE
To be an inspirational leader, you must adopt an attitude of service toward those you lead. This requires laying aside selfish interests to add value to another person. In the words of Martin Luther King, Jr., "An individual has not started living until he can rise above the narrow confines of his individualistic concerns to the broader concerns of all humanity." When you serve, you awaken something magnetic inside of you. People are drawn to follow you because they know you'll find ways to make them better.

AFFIRMATION
To inspire means to have a positive view of others. If we're not careful, we become fault-finders, magnifying the flaws in everyone around us. Instead, leaders should emulate gold prospectors - always on the lookout for potential gold mines. When they find traces of ore, prospectors assume there's a rich vein to unearth, and they start digging. In the same fashion, leaders ought to search for the best traits within a person and commit to uncovering them.

One of the best applications of this idea is expressed in what I call the 101 percent principle: Find the one thing that you believe is a person's greatest asset, and then give 100 percent encouragement in that area. Focusing on a person's strengths inspires them by promoting confidence, growth, and success.

ATTENTIVENESS
Great inspirers know the desires of those they lead. As much as people respect the knowledge and ability of their leaders, these are secondary concerns for them. They don't care how much their leaders know until they know how much their leaders care. When leaders attend to the deeply felt needs of their team, the determination and commitment of each team member skyrockets.

AVAILABILITY
Leaders inspire by intentionally investing time in the people they lead. They make themselves available. People cannot be nurtured from a distance or by infrequent spurts of attention. They need a leader to spend time with them - planned time, not just a conversation in passing.

In our fast-paced and demanding world, time is a leader's most precious commodity. While it feels costly to give up, nothing communicates that you value a person more than the gift of your time. In addition, investing time to develop others has a way of reaping dividends. As Ralph Waldo Emerson remarked, "It is one of the most beautiful compensations of this life that no man can sincerely try to help another without helping himself."

AUTHENTICITY
To inspire, leaders have to be genuine. More than anything else, followers want to believe in and trust their leaders. However, when leaders break promises or fail to honor commitments, they reveal themselves as being inauthentic, and they lose credibility. Trust rests upon a foundation of authenticity. To gain trust, a leader must consistently align words and deeds, while showing a degree of transparency.

Summary

Inspirational leadership can be confused with momentary charisma. I prefer to think about inspiring as more of a process than an event. More than a brilliant speech, it's cultivating habits of brilliance that manifest themselves daily. By modeling the five attributes of an inspiring leader, I trust that you'll win the respect of those you lead and earn the right to influence them.

Falling Forward

Vincent Van Gogh failed as an art dealer, flunked his entrance exam to theology school, and was fired by the church after an ill-fated attempt at missionary work. In fact, during his life, he seldom experienced anything other than failure as an artist. Although a single painting by Van Gogh would fetch in excess of $100 million today, in his lifetime Van Gogh sold only one painting, four months prior to his death.

Before developing his theory of relativity, Albert Einstein encountered academic failure. One headmaster expelled Einstein from school and another teacher predicted that he would never amount to anything. Einstein even failed his entrance exam into college.

Prior to dazzling the world with his athletic skill, Michael Jordan was cut from his sophomore basketball team. Even though he captured six championships, during his professional career, Jordan missed over 12,000 shots, lost nearly 400 games, and failed to make more than 25 would-be game-winning baskets.

Failure didn't stop Vincent Van Gogh from painting, Albert Einstein from theorizing, or Michael Jordan from playing basketball, but it has paralyzed countless leaders and prevented them from reaching their potential.

At some point, all great achievers are tempted to believe they are failures. But in spite of that, they persevere. In the face of adversity, shortcomings, and rejection, they hold onto self-believe and refuse to see themselves as failures. Here are seven abilities of achievers that enable them to rebound from failure and keep moving forward.

Seven Principles for Failing Forward

Reject Rejection

Achievers who persevere do not base their self-worth on their performance. On the contrary, they have a healthy self-image that's not dictated by external events. When they fall short, rather than labeling themselves a failure, they learn from mistakes in their judgment or behavior.

Don't Point Fingers

When people fail, they're often tempted to blame others for their lack of success. By pointing fingers, they sink into a victim mentality and cede their fate to outsiders. When playing the blame game, people rob themselves of learning from their failures and alienate others by refusing to take responsibility for mistakes.

See Failure as Temporary

People who personalize failure see a problem as a hole they're permanently stuck in, whereas achievers see any predicament as temporary. One mindset wallows in failure, the other looks forward to success. By putting mistakes into perspective, achievers are able to see failure as a momentary event, not a symptom of a lifelong epidemic.

Set Realistic Expectations

Unrealistic goals doom people to failure. For instance, if a person hasn't exercised for five years, then making it to a gym twice a week may be a better goal than running in next month's marathon. Also, some people insensibly expect to be perfect. Everyone fails, so expect setbacks and emotionally prepare to deal with them.

Focus on Strengths

Don't invest time shoring up non-character flaws at the exclusion of investing in your strengths. People operating from a position of strength enjoy a far lower rate of failure than those laboring in areas of weakness. You're built to give your talents to the world; be diligent about finding expressions for them in your career.

Vary Approaches to Achievement

In the Psychology of Achievement, Brian Tracy writes about four millionaires who made their fortunes by age 35. On average, these achievers were involved in 17 businesses before they finding the one that took them to the top. They kept trying and changing until they found something that worked.

Bounce Back

Rehashing missteps and blunders for too long sabotages concentration and eats away at self-confidence. When dealing with failure, achievers have short memories. They quickly forget the negative emotions of setbacks and press forward resiliently. While taking pause to learn from failures, achievers realize that the past cannot be altered.

Summary

I believe it's nearly impossible for any person to believe he or she is a failure and move forward at the same time. For those who have been downsized, let go, or bankrupted, the temptation may be to internalize failure. My hope is that anyone who has suffered setbacks recently will be able to separate life's unfortunate events from their self-worth. Failure, like death and taxes, will happen. Your response to failure holds the key to your future.
